The Integrated Cash Book

The integrated cash book of PrismaNote jewellery software provides a comprehensive and user-friendly solution for managing cash transactions that are not product sales. It allows you to record all cash transactions, such as cash deposits, opening balance, cash office expenses, and more.

Where can I find the cash book and how do I use it?

  • Click Cash Book in the left-hand menu (at the bottom).

  • Select the desired period and click the Apply Filters button.

  • Create an export for your accountant using the Export button.

Functions of the integrated cash book

Record all cash register transactions that are not product sales, such as the opening balance, cash transferred to the safe or bank, and other expenses.

Relevant transactions

Opening balance:
Record the daily opening balance of the cash register so you always have insight into the amount of cash available.

Product sales:
Track all cash sales of products and assign them to the correct VAT rates (for example 21% or 9%).

Aggregated transactions by transaction type and payment method

In the cash book, all cash register transactions are clearly displayed and summarised according to the following criteria:

Transaction type:
Each type of transaction (for example product sale, cash withdrawal, or cash deposit) is recorded and totalled separately.

Payment method:
The different payment methods (cash, card, bank transfer) are also displayed separately.

The following types of transactions are recorded in the cash book

Non-product sales:
Record all cash transactions that are not product sales using these steps, such as:

Cash withdrawal:
Record cash taken from the till to be placed in the safe or deposited into the bank account.

Cash deposit:
Document money transferred from the bank into the cash register.

Expense entries:
Record business expenses paid in cash, such as the purchase of office supplies.

Cash payments to staff:
Record cash payments made to employees, such as wages or salary advances.

Once all fields have been completed, you can print the cash book receipt – for example using a thermal printer, as a PDF, or by downloading the file. Afterwards, attach your receipts, such as a postal receipt for stamps, to the cash book receipt.

The PrismaNote cash book provides a clear overview of all cash register transactions, grouped by transaction type and payment method. Both the opening and closing balance of the cash register are displayed, ensuring accurate tracking of daily cash movements.
